Using us means that you have access to an experienced event organiser who can take the time and hassle out of finding a venue, with absolutely no costs attached. We are completely independent and will recommend the best possible venue for your given budget, no matter how large or small it is. Additionally, because of the volume of bookings we make it often enables us to achieve preferred rates. If you decide you also want help with event management we tailor the service to suit you to assist you throughout the event as much or as little as possible to ensure everything runs smoothly.
There is no charge for our service as we are paid a small commission by the venue for introducing the business to them. This is normal practise in the hospitality industry and our commission is not added on to your rates. In circumstances where a commission is not paid, usually for some unusual venues such as warehouses or certain restaurants, we will advise you of this in advance and apply a handling fee.
When we take your enquiry, we will ask you when you need the proposal by and we will always try and meet this deadline. In general though, UK enquiries are usually returned within 24 hours and overseas ones 48-72 hours depending on the complexity of the event.
We provide you with a full venue proposal tailored to your individual enquiry. This includes venue location and contact details, a full breakdown of the facilities, all relevant rates as well as imagery of the venue. We will provisionally hold any meeting or accommodation space for you before you make your final decision.
There is no limit to the types of venue we recommend. We are guided by your brief completely and look at everything from hotels, museums, historical venues, academic establishments to the more unusual too.
As part of our venue finding service we will arrange site visits at a time that suits you. We are happy to join you on the site visit to help guide you through the venue inspection – this is completely free of charge for UK venues within a three hour journey of our offices. Overseas site visits may attract a cost for travel and time unless it is part of an event management contract.
How much do you charge for your event management services?
Our event management service is charged on a daily rate; this includes all the pre-event management and on-site event management. We will also include any costs for site visits prior to your event too. The full breakdown of costs will be given to you in your event management proposal prior to your event so that you have a clear understanding of the cost for your budgeting needs.
We will always work with you on this and will give you the best possible venue/event within your given budget. No matter how large or small your budget is, let us know and we will try and help you achieve all your event objectives.
Can you explain the difference between the various different set-up options offered by venues?
This style reflects the seating found in a theatre or cinema with chairs aligned in consecutive straight rows. All of the seats are facing forwards towards the front of the room. Maximum seated capacity is achieved with this set up. This is ideal for conferences with a presentation at the front and awards ceremonies. (Auditorium-style is similar to Theatre, however the seats are tiered to give maximum viewing opportunity to all delegates).
This style reflects the seating found in a school or lecture theatre, with chairs and trestle tables aligned in consecutive straight rows. All of the seats are facing forwards towards the front of the function room and this set up allows for more detailed note taking. This is a great option for training, sales kick offs and conferences.
Tables and chairs are arranged in shape of the letter U, with delegates facing inwards. The open end allows for a focal point or presentation area and allows the presenter to approach and engage with their audience members. It also allows the audience to interact with each other as they are facing each other. This a good set up for training, conferences, workshops and meetings.
This style suits smaller, more intimate meetings and as all participants are facing inwards towards each other it encourages interaction between individuals. This is a good option for small meetings, one on one interviews, small presentations and team briefings.
This style is similar to a round dinner table, with delegates seated around the circumference facing inwards, allowing for them to easily engage with each other. This a great option for gala dinners, awards night, Christmas parties, weddings and other informal events.
This style is similar to Banquet style, however there is an open end, with the audience seated in an arc facing forwards. The open end allows for a focal point or presentation area. This is a good option for meetings such as training sessions, awards nights and gala dinners.
This style allows for standing space only and doesn’t have chairs or tables. This is the most efficient use of floor space, with maximum room capacity achieved. Delegate interaction is maximised allowing people to freely mingle and roam around the function room. This is a great option for cocktail parties, weddings, Christmas parties and other social events.
